Privacy Policy

Who We Are
Myrtle Tree Ministries, LLC, a Texas limited liability company, does business as Myrtle Tree Ministry Strategies. In this policy, "we" and "us" mean Myrtle Tree Ministry Strategies, and "you" means anyone who visits our website or contacts us.
This policy explains what information we collect through https://www.myrtletreemin.com, our forms, bookings, payments, calls, and text messages, and how we use and protect it.
Questions? Email [email protected] or call (855) 496-8015.
Information You Give Us
Contact Us form
Your full name, church or organization, role, email address, phone number (optional), and your answer about your church's current season.
We use phone numbers from our Contact Us form only to call you. We never send text messages to those numbers.
Discovery Call and Ministry Advisory Hour booking forms
Your name, email address, mobile phone number (optional), appointment details, your answers to booking questions, and whether you chose to receive appointment text messages.
Speaking Request form
Your full name, email address, organization, podcast, or event; the type of engagement; whether it is virtual or in person; a link to the podcast or event; the audience; the honorarium or budget; the topic; and the date or date range.
Messages and calls
Anything you tell or send us by email, phone, text reply, or in a meeting.
Payment Information
When you pay for a Ministry Advisory Hour, you enter your card details on a secure payment form provided by Stripe, our payment processor. We do not see or store your full card number or security code.
We can see limited details, such as your name, the billing details you enter, the card brand, the last four digits, the expiration date, and the amount and status of your payment. Stripe uses payment information under its own privacy policy, including to process payments and prevent fraud.
Consulting projects are billed by invoice and may be paid through the same or similar payment tools.
Calls, Notes, and Recordings
Notes are a standard part of how we work. On most calls, we use Zoom AI Companion to create a meeting summary and transcript, and sometimes Zoom recording. For some calls and in-person meetings, we use a Plaud recording device instead. Notes let us stay fully present in the conversation and give you accurate follow-up. Recordings, transcripts, and summaries are confidential, the same as the conversation itself.
If you would prefer no notes, tell us before the call by replying to your confirmation email or writing to [email protected], or tell us at the start of the call. We will turn them off and take limited notes by hand. Without notes, our follow-up may be less complete. We never record or take AI notes over anyone's objection.
We give notice on our forms, in your booking confirmation, through Zoom's on-screen notice, and out loud at the start of each call. Where the law allows, joining a call after this notice counts as agreement. Because some states require everyone's agreement, we also check with everyone out loud at the start of every call, and we rely on that check and Zoom's on-screen notice as your agreement. If someone joins late, we check with them when they join.
Zoom meeting summaries go to our host account only. We review them before we use them.
We provide notes only to the client they concern.
Recordings and notes are stored in our Zoom and Plaud accounts and in our secure client records.
Raw audio and video recordings: deleted within 30 days after the call.
Transcripts: deleted within 90 days after the call. Meeting summaries and our notes are kept with client records.
Based on their published policies, Zoom and Plaud do not use our call content to train AI models, and we do not give permission for that use.
Zoom AI Companion may use AI models from other companies to create summaries. Plaud sends audio to AI service providers to create transcripts and summaries, and Plaud states that those providers keep no copy after processing.
Recordings that a host makes of a speaking engagement or podcast are governed by the separate written appearance agreement, not by this section.
How We Use AI
We use AI tools in our work. We co-create our website content, emails, and documents with an AI assistant, and we use AI to help us prepare for and follow up on client work, including notes from calls. We direct this work and are responsible for what we publish and send. AI tools do not make decisions about you.
The AI tools we use include:
Claude, from Anthropic. An AI assistant we use to draft and edit emails, documents, and website content, and to help organize information from our email, calendar, files, and call notes.
Spark Mail. Our email app, including its AI features that help draft and organize email.
Zoom AI Companion and Plaud. Create meeting summaries, transcripts, and recordings, as described in Calls, Notes, and Recordings.
Information you give us stays confidential when we use AI tools. We give these tools only the information needed to serve you, and we do not use them for advertising.
Where an AI provider lets us choose, we turn off the use of our content to train its AI models.
If we add or change an AI tool that handles personal information, we will update this list.
